Job Description
The Executive Hospitality Specialist plays a key role in representing the customer’s culture to external visitors while supporting office administration. Responsibilities include greeting guests, managing conference room scheduling, preparing for client visits, handling travel arrangements, and coordinating company events. The role also involves general clerical tasks, reception duties, mail services, and shipping/receiving responsibilities. This position reports directly to the Site Manager or Assistant Site Manager, depending on the site personnel configuration.
Primary Responsibilities
Greet visitors, validate against guest lists, issue badges, and provide parking validation when necessary.
Serve as a concierge for guests, clients, and staff, offering tours and recommendations for hotels, restaurants, and local attractions.
Coordinate catering for meetings, working with support staff and vendors.
Schedule and prepare meeting rooms, ensuring all necessary supplies and proper setup.
Assist with audiovisual equipment for meetings.
Provide backup clerical support for Executive Assistants.
Assist in the daily management of office facilities.
Create proposals in customer systems and print production environments.
Support executive-level client-facing staff with administrative needs.
Procure and coordinate vendors for special projects.
Perform other duties as assigned.
Required Experience
~1-3 years of experience in a similar role or related field required.
~ Experience working in a headquarters environment preferred.
~ Required Education
~ High school diploma or equivalent required.
Skills & Abilities
Outstanding organizational and coordination skills.
Strong customer service and interpersonal skills.
Proficiency in Microsoft Office Suite.
Effective problem-solving skills.
Ability to operate audiovisual equipment.
Ability to work independently with minimal supervision.
