We are looking for a strong candidate to join our Office Services Support team. This position will assist in various roles in our office in these areas: mail services / shipping & receiving, coffee concierge services, reception coverage, printer/copier support and event set-up support.
Duties & Responsibilities
Event Set-Up
• Be involved in communication and planning for upcoming events with the events management team.
• Set-up conference rooms to specified configurations for upcoming meetings & training sessions.
• Move tables and chairs to complete the specified set-up
• After the meeting / event, break down tables and chairs and wheel them to storage
Mail, Shipping & Receiving
• Support our mail and shipping & receiving operations by working in the Mailroom and make deliveries to various buildings on campus.
• Receive and sort incoming FedEx, UPS, Amazon and other packages
• Scan incoming accountable mail and packages into our mailroom software system.
• Deliver first class letters, business reply, flats, boxes, intra and inter-company mail, accountable mail (certified, registers and insured) and express mail.
• This position involves driving our company van to various locations for pick-ups and deliveries.
• Pickup outbound mail and packages from designated areas / mailstops in buildings served based on schedule.
• Process (sort and meter) to the appropriate carrier outbound domestic and international mail received by end of business day.
• Pack outgoing shipments to protect contents during shipping.
• Ensure that outbound mail operations are completed in time to meet postal outbound times for working day.
• Manage the inventory and replenishment of postal funds for postage meters.
Coffee Concierge Duties
• Monitor coffee service areas throughout the day to ensure coffee is available.
• Maintain and clean coffee service area, including emptying and cleaning waste bins inside the coffee machines
• Stock coffee supplies including but not limited to coffee packs, sugar packs, creamer cups, coffee cups, coffee cup lids, coffee cup sleeves, and straws
• Track and order inventory/supplies from vendors; to include ordering and stocking of supplies for the coffee service areas, conference rooms, supply rooms, and other areas as designated.
• Spot sweep and mop floors
• Clean and maintain ice machines (flash clean with hot water).
Reception Duties
• Greet all visitors - employees, clients, vendors, job applicants, employees from other locations etc. - with a high degree of professionalism and courtesy.
• Ensure that all client standards for access into the premises are followed.
• Adhere to the visitor check in process and ensure that all guests and visitors are signed as required.
• Inform employees when their guest(s) have arrived.
• Answer incoming calls and directing those calls to the proper parties. Calls must be answered in four rings or less
Qualifications:
• High school diploma or equivalent.
• Minimum 1 year customer service and office related experience preferred.
• Minimum 1 year courier experience with driving preferred.
• Basic Computer skills.
• Postage Meter, UPS, FedEx, DHL knowledge.
• Demonstrate the ability to be flexible and adapt to change in the work environment.
• Strong work ethic; diplomatic; team player and service-oriented; builds strong working relationships.
• Ability to regularly lift up to 50 lbs.
• Attention to detail.
