Job Description

Job Summary The human resource assistant is responsible for performing HR-related duties on a professional level and works closely with HR management in supporting the needs of employees and department. This position carries out responsibilities in the following functional areas: benefits administration, payroll, employee relations, training, policy implementation, and employment law compliance. Essential Job Responsibilities Promote the mission, vision, and values of the organization Perform benefits administration, including claims resolution, change reporting, and communicating benefits information to employees Process file maintenance for payroll preparation Review time cards and authorized deductions for accuracy and compliance with compensation policies Monitor the preparation of paychecks and payroll reports Deliver paychecks at the scheduled time Maintain a payroll file for each employee Assure payroll taxes and deductions are correctly processed in a timely manner Maintain required payroll records for the time period stipulated by law Interact with all employees and managers on personal compensation matters Prepare new employee files and process termination files ensuring all records to be placed in file is obtained Process COBRA notifications Assist in the development and implementation of personnel policies and procedures Participate in developing department goals, objectives and systems Assist with recruitment effort for all personnel, students and temporary employees as needed Assist with pre-employment and onboarding process with new employees, students and contract personnel as needed Assist with New Employee orientation as needed Assist with compliance of employee's licenses and/or credentials as required Assist in evaluation of reports, decisions and results of department in relation to established goals. Recommends new approaches, policies and procedures to continually improve efficiency of the department and services performed. Maintain human resource information system records and compiles reports from the database. Maintain compliance with federal, state and local employment and benefits laws and regulations. Assist Director of Human Resources with various research projects and/or special projects Assist with pre-employment and onboarding process with new employees, students and contract personnel Submit and review employee background investigation and verify discrepancies with HR management Verify new hire documentation and ensure records are accurate and current Assist with New Employee orientation Ensure compliance of employee's licenses and/or credentials as required Assist in evaluation of reports, decisions and results of department in relation to established goals. Recommends new approaches, policies and procedures to continually improve efficiency of the department and services performed. Maintain human resource information system records and compiles reports from the database. Participate in developing department goals, objectives and systems Maintain HR personnel files including filing of documentation Non-Essential Functions Performs other duties as assigned. Qualifications High school diploma or equivalent Minimum of one year experience in a related field Professional Requirements Adhere to dress code, appearance is neat and clean. Complete annual education requirements. Maintain patient confidentiality at all times. Report to work on time and as scheduled. Wear identification while on duty. Maintain regulatory requirements, including all state, federal and local regulations. Represent the organization in a positive and professional manner at all times. Comply with all organizational policies and standards regarding ethical business practices. Communicate the mission, ethics and goals of the organization. Participate in performance improvement and continuous quality improvement activities. Attend regular staff meetings and in-services. Knowledge, Skills, and Abilities Knowledge of human resource services. Strong organizational and interpersonal skills. Ability to determine appropriate course of action in more complex situations. Ability to work independently, exercise creativity, be attentive to detail, and maintain a positive attitude. Ability to manage multiple and simultaneous responsibilities and to prioritize scheduling of work. Ability to maintain confidentiality of all medical, financial, and other information. Ability to complete work assignments accurately and in a timely manner. Ability to communicate effectively, both orally and in writing. Ability to handle difficult situations involving customers, physicians, or others in a professional manner. Physical Requirements and Environmental Conditions Work is performed during regular work hours but will require overtime and/or weekend hours to meet deadlines. Work in varying degrees of temperature (heated or air conditioned). Work under extreme pressures. Position requires sitting for approximately 4-6 hours per day and walking for 2 hours per day. Position requires light to moderate work with 50 pounds maximum weight to lift and carry.
