THE GIST:

Our client, a Palo Alto investment management company, is seeking an Executive Assistant to support multiple members of their investment team. This role will provide high quality organizational & administrative support while working cohesively with their top-tier administrative team. The ideal candidate has excellent communication skills, sound judgment, and works with a strong sense of poise & polish. THE NITTY GRITTY: Manage multiple calendars, schedule & confirm meetings, and send reminders Arrange international & domestic travel and prepare itineraries Track & process expenses Receive incoming calls, provide responses, and direct as appropriate Plan and coordinate department meetings, offsites, and other events Prepare presentations and meeting materials Manage multiple projects simultaneously Provide back up administrative support for other team members Assist with other administrative tasks and ad hoc projects, as needed THE ESSENTIALS: 2+ years of experience in an administrative support role Must have experience coordinating domestic + international corporate travel Bachelor's degree required Ability to multi-task, adapt to changing priorities, and meet deadlines Excellent interpersonal skills & collaborative nature Attention to detail in written correspondence, including editing and proofreading Excellent planning and organizational skills Ability to take initiative and ownership of projects Demonstrated ability to handle sensitive issues and maintain confidentiality THE CHERRY ON TOP: Opportunity to join an established & well-respected company Work/life balance, great benefits, and a strong support team!
