Job Description

Financial advisory firm is seeking a reliable and detail-oriented Executive Administrative Assistant to support a senior executive on a permanent, full-time basis. The ideal candidate will have several years of administrative experience, strong communication skills, and a professional, discreet demeanor. This is a unique opportunity to join a long-tenured, close-knit team in a quiet and focused work environment.

On-site schedule: 5 days per week

Salary: $80,000–$85,000 base plus annual bonus

Hours: 8:30am – 4:30pm (with occasional coverage 10:30am – 6:30pm as needed)

Responsibilities:

  • Provide administrative support to a senior executive, including scheduling and call management
  • Transcribe and format handwritten notes and documents
  • Maintain and update internal files and records
  • Assist with meeting coordination and Zoom call setup
  • Prepare and edit correspondence and presentations
  • Provide phone coverage and backup support for other staff
  • Collaborate on ad hoc projects and tasks as assigned

Requirements:

  • Minimum 5+ years of administrative experience in a professional office setting
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); WordPerfect a plus
  • Excellent transcription and typing skills; able to interpret handwritten notes
  • High level of discretion and attention to detail
  • Strong organizational and communication skills
  • Comfortable working independently in a small, quiet office environment
  • Flexible and reliable with a collaborative, team-oriented mindset
