Essential Functions: We are seeking a highly organized, collaborative, and adaptable Event Operations Planner to play a key role in supporting the planning and execution of our events. This position focuses on coordinating logistics, sourcing vendors and resources, managing event supplies, and tracking key details including timelines and budgets. The ideal candidate has project management experience and is passionate about supporting meaningful event experiences that align with our mission and excels in a fast-paced, collaborative environment. Key Responsibilities: Assist Events team members in planning and coordinating logistics for events, ensuring all operational details are addressed. Source, negotiate with, contract, and manage vendors, suppliers, and service providers for various event needs such as venues, speakers, transportation, and other services and equipment. Collaborate with team members to define project needs and scope and develop, optimize, and track project plans and timelines. Support the Events team through maintaining and updating departmental projects and processes including calendar management, managing inventory of event supplies, ensuring timely procurement and restocking as needed, and others as assigned. Support on-site event execution, including packing and unpacking supplies and on-site events setup, teardown, and troubleshooting as needed. Track event data, including budgets, timelines, attendance, and post-event evaluations to inform future planning. Other duties as assigned with or without accommodation. Requirements Qualifications: 3-5 years of professional experience in event planning and/or project management in a fast-paced, service-oriented environment. Prior experience in event planning and project management required; not-for-profit experience preferred. Experience in project management, with the ability to manage multiple concurrent projects and deadlines effectively in a fast-paced environment. Experience in event planning/operations, preferably in a non-profit setting. Excellent written and verbal communication skills, negotiation and problem-solving abilities, and strong interpersonal skills to interact with internal and external stakeholders effectively. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and CRM databases; experience with Zoom and other virtual event platforms preferred. Ability to manage projects proactively, pay attention to detail, and ensure accuracy and follow-through on all tasks. Ability to maintain confidentiality and exercise sound judgment in a variety of situations. Familiarity with project management tools and software is a plus. Ability to be flexible and adaptable to changes and shifting priorities. Working Conditions: Hybrid Work Schedule: CJP staff follow a hybrid work model. On-site work is required on Tuesdays and Wednesdays, while remote work is an option on Mondays, Thursdays, and Fridays, with occasional in-person meetings on those days. Flexibility to work occasional nights and weekends is necessary for this role. Must possess a driver’s license, a car or access to a car, and willingness to drive to and from events. Physical Requirements: This role involves remaining in a stationary position, often sitting or standing for prolonged periods, primarily working at a computer. This role also requires the physical capability to easily move all necessary production supplies, some weighing less than or up to 50 pounds, without assistance, including pushing, pulling, and bending.
