Executive Assistant / Office Manager

Dallas, TX | Full-Time | In-Office

We are looking for a highly organized and proactive Executive Assistant / Office Manager to join our team and support senior leadership while ensuring the smooth day-to-day operation of our Dallas office. This is a dual-role position requiring someone who is detail-oriented, resourceful, and comfortable managing a wide range of responsibilities in a dynamic environment.

Position Overview:

The Executive Assistant/Office Manager provides high-level administrative support to senior executives and manages critical office operations. This is an exciting opportunity to be part of a small, collaborative team that values integrity, professionalism, and long-term relationships.

Primary Responsibilities:

  • Manage calendars, schedule meetings, and coordinate travel for senior executives
  • Prepare correspondence, presentations, and internal documents
  • Plan and coordinate board meetings, investor events, and team functions
  • Maintain organization of firm documents and records, both digital and physical
  • Handle front-office duties, including greeting visitors and managing calls
  • Order office supplies and coordinate with vendors and building management
  • Support HR functions such as onboarding new hires and coordinating benefits information
  • Assist with general administrative support across departments as needed

Specific Tasks:

  • Book and manage travel itineraries (airfare, accommodations, ground transportation)
  • Draft meeting agendas, take notes, and follow up on action items
  • Maintain master calendars and track critical deadlines
  • Liaise with IT, property management, and vendors to resolve operational issues
  • Track and reconcile company credit card charges and expense reports
  • Maintain inventory and order supplies for kitchen, office, and printing needs
  • Assist with the formatting and distribution of investor reports and communications
  • Provide occasional personal assistance to executives as needed

Qualifications:

  • 3+ years of experience in an executive assistant, office management, or similar administrative support role
  • Prior experience supporting C-level executives preferred
  • Strong organizational and multitasking abilities with excellent attention to detail
  • Proficient in Microsoft 365 (Outlook, Word, Excel, PowerPoint)
  • Experience with travel booking tools, expense platforms, and shared calendars
  • Professional demeanor and excellent verbal/written communication skills
  • Proactive and solutions-oriented, with a strong sense of discretion and confidentiality
  • Bachelor's degree preferred but not required

Additional Details:

This is a full-time, in-office role based in Dallas, TX. The position reports directly to the CEO and President, working closely with senior leadership across departments.
